Inbound: Call Answering
Every call answered on the first ring, including the ones outside office hours.
Why this costs you money
A missed call is not a message. Most people who ring a business and get voicemail do not leave one — they ring the next business on the list, and you never learn that they called at all.
It happens at the worst times: while your team is on another line, on site, at lunch, or at any hour on a Saturday. The calls you miss are disproportionately the ones from people ready to buy right now, because those are the people who pick up the phone instead of sending an email.
An answering service reads a script and takes a message. That is better than voicemail and it is still not a conversation that gets anybody booked in.
How it works
- 01
Your number routes to the agent
Keep the number you publish. Calls reach the agent instead of a voicemail box — all of them, or only the ones your team does not pick up.
- 02
It answers immediately, at any hour
No hold music and no queue. Evenings, weekends and public holidays are ordinary working hours as far as it is concerned.
- 03
It handles the call or books the meeting
Routine questions — hours, location, what you do, what something costs — get answered outright. Anything worth your time becomes an appointment in your calendar.
- 04
Everything lands in your dashboard
Recorded, transcribed and summarised, in the same place as your outbound calls, so the whole history of a customer sits together regardless of who rang whom.
What you get
- An agent scripted for your business, its services and its common questions
- Answering on your existing published number
- Appointment booking into the calendar your team already uses
- A transcript, summary and outcome for every call
- Callers matched to existing customers by number, so a repeat caller is not a new record
- Tuning on real calls after launch as you hear what people actually ask
Who it’s for
A good fit if
- Businesses where the phone still rings and a missed call is a lost job
- Trades, clinics, salons, agencies and anyone whose enquiries arrive while the team is busy doing the work
- Teams already paying for an answering service that takes messages instead of bookings
Probably not if
- Businesses that take no phone calls at all
- Support lines needing account access or authentication mid-call — that is a different build and we would tell you so
Questions
- Do I have to change my phone number?
- No. You keep the number you already publish and route calls to the agent, so nothing on your cards, your van or your listings has to change.
- Can it answer only when we miss the call?
- Yes. It can take everything, or sit behind your team and pick up what would otherwise ring out — which is the usual arrangement for businesses that want a human first during working hours.
- What if it does not know the answer?
- It says so rather than inventing one, takes the caller's details and books the follow-up. A wrong answer delivered confidently costs more than an honest handover.
- Will callers know it is an assistant?
- It says so when asked and does not pretend otherwise. In practice most people simply get their question answered and their appointment booked.
- Can it handle more than one call at once?
- Yes — concurrent calls are a capacity setting, not a queue. Three people ringing at the same time get three conversations rather than two hold tones.
